Who it’s for

Belfast and NI salon owners with 2 to 15 staff, maybe a couple of apprentices and a self-employed renter, who run the rota from a WhatsApp group and keep explaining the holiday rules again.

What’s inside

  • Weekly rota spreadsheet. Start, finish and break per person per day; hours add up per week; Saturday cover check.
  • Holiday planner. Year view with peak weeks shaded (formal season, Christmas) and the Twelfth fortnight marked.
  • Holiday request one-pager. How much notice, peak blackout weeks, and where entitlements are explained (nidirect).
  • Sickness one-pager. Who to ring, by when, and what happens with that day’s clients.

How you use it

  1. Put your team and opening hours into the rota.
  2. Fill the week; check hours totals and Saturday cover.
  3. Edit the one-pagers with your names and numbers.
  4. Print and pin them in the staff room.
  5. Use the induction checklist with the next new start.

What it won’t do

  • It isn’t an employment contract or a staff handbook.
  • It doesn’t run payroll or calculate holiday pay or SSP.
  • It isn’t legal advice: employment rights in Northern Ireland are explained by nidirect and the Labour Relations Agency, and you should check them.
  • It doesn’t cover self-employed chair renters’ contracts.

Worked example: Saturday cover in a Botanic salon

Four stylists, one apprentice. The rota checks there are at least three stylists on at the start of every Saturday hour.
