Staff rota and one-pager pack for Belfast salons
One rota everyone can read, and one page on each rule, so nobody says they weren’t told. £19.
Who it’s for
Belfast and NI salon owners with 2 to 15 staff, maybe a couple of apprentices and a self-employed renter, who run the rota from a WhatsApp group and keep explaining the holiday rules again.
What’s inside
- Weekly rota spreadsheet. Start, finish and break per person per day; hours add up per week; Saturday cover check.
- Holiday planner. Year view with peak weeks shaded (formal season, Christmas) and the Twelfth fortnight marked.
- Holiday request one-pager. How much notice, peak blackout weeks, and where entitlements are explained (nidirect).
- Sickness one-pager. Who to ring, by when, and what happens with that day’s clients.
- Breaks one-pager. When breaks happen on a busy day; points to nidirect for the legal minimums.
- Client handover sheet. Colour formula, notes and next appointment when a stylist is off.
- Salon rules one-pager. Phones, social posting, products, hygiene, closing up.
- Induction checklist. First day and first two weeks for a new stylist or apprentice.
How you use it
- Put your team and opening hours into the rota.
- Fill the week; check hours totals and Saturday cover.
- Edit the one-pagers with your names and numbers.
- Print and pin them in the staff room.
- Use the induction checklist with the next new start.
What it won’t do
- It isn’t an employment contract or a staff handbook.
- It doesn’t run payroll or calculate holiday pay or SSP.
- It isn’t legal advice: employment rights in Northern Ireland are explained by nidirect and the Labour Relations Agency, and you should check them.
- It doesn’t cover self-employed chair renters’ contracts.
Worked example: Saturday cover in a Botanic salon
Four stylists, one apprentice. The rota checks there are at least three stylists on at the start of every Saturday hour.
| Person | Sat start | Sat finish | Break | Week hours |
|---|---|---|---|---|
| Niamh (senior) | 08:30 | 17:00 | 30 min | 32.5 |
| Ciara | 09:00 | 17:30 | 30 min | 32.5 |
| Conor | 08:30 | 15:00 | 30 min | 30.0 |
| Grace | 11:00 | 18:00 | 30 min | 31.0 |
| Leah (apprentice) | 08:30 | 17:00 | 30 min | 32.0 |
From 15:00 to 17:00 there are three stylists on; the check row shows OK.
